Mercy International Association: Head of Operations
Mercy International Association (MIA), a charitable non-profit
organisation, seeks to recruit a Head of Operations in Mercy
International Centre, (MIC) Dublin. This is a new post with
responsibility for the management of the day-to-day activities of MIC
and is directed by the Centre’s Mission Statement.

TITLE: Head of Operations

REPORTS TO: The Chief Executive Officer

LOCATION: Mercy International Centre, *A Baggot
Street Lower, Dublin, Ireland

TERMS: This post is for one year ( * hours per
week), with the possibility of renewal. A competitive salary
commensurate with experience is on offer for this position.

WORKING RELATIONSHIPS: The post holder will develop and maintain
positive and professional relationships with colleagues, visitors and
all who avail of our services. The post holder will be expected to
work closely with staff based in MIC and will report to the Chief
Executive Officer. The post holder will oversee the work of the
Facilities Department and will also work in collaboration with the
Finance Manager.

POSITION OVERVIEW: This new position is responsible for the day-to-day
operations of the Mercy International Centre, Baggot Street, Dublin
and requires onsite presence. The role will be Monday – Friday;
however, there will be occasions when it will be necessary to work
weekends or later in the evening to accommodate events in the Centre.
Excellent customer service and the ability to problem solve
effectively are key requirements.

ROLE COMPONENTS

MANAGEMENT AND CONTROL:

* Manage the Mercy International Centre in accordance with sound
management and governance practices and in the context of meeting
MIA’s policies and accountability standards as they conform to
charity legislation, as well as in accordance with the strategic goals
of the Association.
* Manage a small team of staff who are responsible for different
aspects of MIC’s operations, including facilities, maintenance,
reception, hospitality and catering.
* Be responsible for managing human resources of all staff based in
Mercy International Centre in line with best practices ensuring
compliance with legislation and good governance. This includes
maintaining Human Resources files and records, developing and updating
written policies as needed (e.g. Employee Handbook, Volunteers, etc.),
coordinating annual leave and other absences and leading staff
meetings.
* Oversee employee training and development.
* Conduct regular performance evaluations.
* Develop and implement Health & Safety Policies and Procedures in
collaboration with the Facilities Manager, along with other necessary
policies and procedures, keeping abreast of current legislation and
best practices.
* Being the Designated Risk Management Officer for MIC, coordinating
implementation of Risk Policy and maintenance and monitoring of the
Risk Register in consultation with the CEO and the Heads of
Departments.
* Collaborate with the CEO and the Finance Manager to ensure good
internal financial controls, help with day-to-day tasks such as
banking, ensure accurate accounting of income and expenditure and
assist the CEO and Finance Manager in the preparation of budgets and
financial plans.
* When necessary, being available at front of house to assist with
reception duties, ensure visitors are welcomed and facilitate guided
tours of the house.
* Work in conjunction with our Data Service Provider in the
management of data protection and data systems.
* Assist all staff, volunteers and visiting presenters with the
technology needed to present online and in-person meetings and events.
* Assist with the training of staff and volunteers to use
technology.
* Resolve any IT issues with the help of our external IT
consultants.

* Along with executive management, develop a culture that motivates
employees and volunteers and enables them to promote the values and
goals of MIA and deliver its objectives.
* Provide strong leadership by fostering innovation, teamwork, and
ongoing learning.
* Create an environment inspired by Mercy values, where staff,
sisters, associates, ministry groups and volunteers are enabled to
work together collaboratively.

COMMUNICATIONS AND RELATIONSHIPS:

* Foster and maintain close working relationships with all personnel
based in the Mercy International Centre
* Develop and maintain key relationships, including personnel,
volunteers, service users and third-party relationships relevant to
the operation of MIC, e.g. legal, finance, human resources, insurance
& facilities.

These duties are a general guide to the responsibilities of the Head
of Operations. They are neither definite nor restrictive. The post
holder may be required to undertake other duties commensurate with the
post.

EXPERIENCE AND SKILLS REQUIRED:

* Candidates will ideally be educated to degree level.
* Have at least five years of relevant experience in general
management. Experience in hospitality would be an advantage.
* Embrace respect for the Mission, purpose and ethos of MIA. Possess
intercultural awareness and sensitivity.
* Very strong organisational, time management, people management,
analytical and problem-solving skills, including the ability to manage
a competing and demanding workload at times.
* Ability to work independently and as part of a team showing
flexibility and an ability to multi-task.
* Able to communicate information clearly and concisely and to
develop positive relationships with visitors and colleagues.
* Experience in Human Resource Management essential.
* Basic accounting knowledge and understanding of accounting
software.
* Excellent IT skills, including Microsoft Word, Excel, Google
Drive, and Zoom.
* Experience with database management.
* Working knowledge of GDPR.
* Knowledge of safeguarding children and vulnerable adults is
necessary.
